Work days - Friday is essential and non-negotiable; other work days - Monday is preferable, other days are flexible.

What you'll be doing
The Admin Officer is responsible for administrative support for the Department of Clinical Genetics as directed by the Head of Department and is required to maintain a sound knowledge of the activities of the department so as to support its aims and objectives. Show initiative and independence in decision making for day to day operational matters, with support and broad supervision of HOD and Senior Secretary.
Primary roles include but are not limited to:
  • Reception duties - to receive patients and answer phone calls, assist clinical staff with triage of calls
  • Type and mail letters or reports, scan and file documents, distribute mail and files
  • Assist more senior staff including counsellors, doctors and other administrative staff with clinic coordination
  • Enter and analyse data in clinical and administrative databases 
Other complex tasks or projects  as directed by the Head of Department to support the clinical activities of the Department of Clinical Genetics
  1. Reception / administrative skills and experience in handling diverse medical, para-medical and public enquiries.
  2. Proven organisational skills, ability to show initiative and prioritise workload and ability to work as part of a team and with minimal supervision.
  3. Experience with outpatient clinic bookings or clinic co-ordination and Medicare billing.
  4. Excellent telephone manner and oral and written communication skills.
  5. Knowledge of Microsoft Office (eg. Word, Excel, Power Point, Outlook).
  6. Knowledge of medical terminology and understanding of patient confidentiality.
  7. Audio-transcription experience with a typing speed of at least 60wpm and qualification in medical terminology (or working towards). Sound knowledge of English grammar as is relevant for correspondence.
  8. Data entry, knowledge and skill in database maintenance.
