Executive Assistant

Within the NSW Ministry of Health, the Office for Health and Medical Research works to create a vibrant research and innovation ecosystem that improves the experience of delivering and receiving care, system efficiency and sustainability, and equity in access and health outcomes.

The Office for Health and Medical Research is seeking an experienced and talented Executive Assistant to support the Executive Director with a broad range of executive, secretarial, and high-level administrative support on key operational matters.

In this dynamic role, you’ll work closely with the Executive Director, Executive Officer, Deputy Secretary, Ministers’ offices, senior executives, and key stakeholders to support meaningful outcomes.

Crown Clerk 5/6, salary from $97,027 - $107,059 p.a. plus Super and annual leave loading.

What you'll be doing
This role will provide high-level administrative, secretariat and executive support to the Executive Director, Office for Health and Medical Research, to support and harness health and medical research innovation in NSW. As the central point of contact for the executive, you will

  • provide administrative support functions, including diary and meeting management, routine databases, secretariat support to committees, and document production
  • produce business activity reports, such as staffing, sick leave, budget reconciliation
  • receive, assess and manage enquiries from internal and external stakeholders, including requests for meetings, and ministerial briefing requests
  • review and manage correspondence for signature by the Executive Director, and draft and prepare general correspondence, presentations, reports and submissions.


About you
You are an organised, detail-oriented professional, that:

  • demonstrates exceptional written and verbal communication skills
  • is experienced in managing multiple tasks and inquiries with professionalism and efficiency
  • builds and maintains strong relationships with colleagues and key stakeholders
  • ensures confidentiality and discretion in handling tasks and sensitive information.

Experience in a similar executive assistant role and familiarity with managing government responses would be advantageous.

Working at the Ministry of Health 
The position is located in St Leonards, in a modern, purpose-built building within an activity-based working environment. Close to public transport, cafés and local amenities. This role requires on-site attendance of at least 4 days per week.
