Our pharmacy team delivers services to inpatients, outpatients, clinics, and healthcare facilities throughout Newcastle and across the wider Hunter New England District.

About the role:

  • Administrative and Secretarial Support to the Director of Pharmacy
    Provide comprehensive administrative and secretarial assistance to the Director of Pharmacy, including managing correspondence, scheduling appointments, coordinating meetings, and preparing reports, briefs, and other documentation.
  • Pharmacy Department Administration Coordination
    Oversee the administrative functions of the Pharmacy Department by supervising the Pharmacy Administration Officer, managing shared reception duties, and ensuring efficient office systems, procedures, and document management. Responsibilities also include handling pharmacy paperwork, maintenance requests, non-pharmaceutical billing, meeting organization, and mail processing.
  • You will manage equipment registers, assist with staff recruitment, onboarding, WHS activities, rosters, leave, and payroll.

You will support the Operational Deputy, provide secretarial duties for meetings and related tasks including video/teleconferencing facilities to support affective conduct of meetings. You will assist with the Pharmacy human resources – Health Roster Data entry, assisting in recruitment and on boarding.

About you:


We are looking for an enthusiastic and personable candidate to join our growing team as a senior. The administration senior position is instrumental in maintaining the legislated requirements of managing the documentation around this workload and the associated paperwork/record keeping. Hold self-direction and a natural leader

  • You will be experienced in the provision of administration services, with a qualification or documented experience to support this. Prefer knowledge in Health however not mandatory.
  • You will be proficient in the use of IT, would be beneficial to have some familiarity with Sara, Health Roster, Oracle, payroll functions, minute taking and have had executive team support exposure
  • You will ideally have assisted in payroll processing, assist in recruitment and essentially help the smooth operation of the department
  • A background in health or public health experience would be an advantage but is not a pre-requisite.
  • Would consider Job share arrangements

The ideal candidate will have great attention to detail, good processes, strong organisational skills and an eagerness to learn will succeed. Able to build rapport and networking as pharmacy have a lot of interaction with all services across the campus.
