The advertised salary will increase by 3%, effective from the first full pay period commencing on or after 1 July 2025
The Mental Health Commission of NSW is seeking a highly organised and proactive Administrative Project Officer to support the Director, System Reform (SR), and contribute to the work of the Suicide Prevention Councils.

Primary Purpose of the Role
The System Reform Administrative Project Officer provides administrative assistance to the Director and administrative support to Suicide Prevention Councils.
The role is charged with providing timely and high-quality support to facilitate efficient and effective operations for the Director System Reform. Importantly, the role ensures the optimal use of the Director’s time, coordinates meetings and appointments, screens call and provides a broad range of administrative and related activities. All work performed requires a high level of accuracy, efficiency and discretion.
The Administrative Project Officer also coordinates meetings and events and travel for the Director and team. The role works with the Director to develop and manage special projects as required. Projects could include business planning, correspondence, secretariat activities, administrative process review, and/or event coordination support. The role also provides support across the Commission as required and temporarily takes on additional duties to cover workload peaks and absences.
Key Accountabilities
- Manage the diary of the Director System Reform, including prioritising meetings and arranging access; monitor, communicate and record travel arrangements (including itineraries, transport, allowances and accommodation).
- Coordinate and/or manage in-office meeting arrangements as identified by the Director by providing appropriate hospitality to visitors; prepare agendas, provide secretariat services, take minutes and/or dictation as required, type-up audio recordings, and ensure actions are followed-up within a reasonable timeframe.
- Ensure that adequate information is available prior to appointments / meetings attended by the Director; compile meeting folders; take appropriate action to follow-up issues arising.
- Act as a point of contact for the Suicide Prevention Councils, assisting with development and recruitment activities, arranging logistics, travel and accommodation, minute taking and follow up support.
- Monitor expenditure reports for the Director (i.e. corporate credit card and expense accounts); ensure these are submitted on time and that any variations are addressed.
- Work closely with the Director to develop and manage special projects to support the efficient running of the System Reform Directorate, for example, business planning, correspondence, administrative process improvements and/or events coordination support.
- Work with the Director to track and/or file documents pertaining to the work of the Director to ensure that all correspondence conforms to corporate style, format and content protocols.
- Provide support across the Commission as required and work collaboratively to establish and review standardised business / administrative systems and take on additional duties to cover workload peaks and absences; facilitate systems improvement and collaborate to get the job done.
Key Challenges
- Independently organising work, allocating priorities, and dealing with requests for access to the Director in a dynamic, and high-volume work environment, and proactively managing competing work demands of the Director.
- Balancing the delivery of special projects with the day-to-day duties of the role
- Exercising sound judgment about the substance/priority of matters being dealt with by the Director, drawing connections with other advice, events and meetings, and taking appropriate action as required
- Building effective relationships with internal and external stakeholders to secure cooperation for information, advice and action, particularly given the extremely tight deadlines of some requests
- Demonstrating impeccable interpersonal skills, as well as tact, discretion and the ability to maintain confidentiality at all times.
Essential Criteria
- Demonstrated administrative and organisational skills including proficiency in Office 365 applications.
- Excellent communication (written and verbal) and interpersonal skills.
- Experience in secretariat and end-to-end project support functions.
- High level attention to detail and discretion.
- Self-motivated with a customer service mindset with an ability to build positive relationships both internally and externally.
