About the role: 

You will be relieving in several areas around the hospital and areas off site (within Newcastle) including Pacific Clinic (Newcastle Sexual Health), Wards, Outpatient Services, Endoscopy and Clinical Service Units.

Depending on the role being covered, your day may involve a variety of general administrative and clerical tasks within a healthcare environment. Responsibilities may include, but are not limited to, the following:

  • Handling incoming calls: Managing a high volume of phone calls in a professional and courteous manner, directing inquiries to the appropriate staff, taking accurate messages, and providing information to patients, families, and colleagues.
  • Managing email correspondence: Monitoring shared and individual inboxes, responding promptly to general inquiries, and escalating more complex issues to the relevant team members or departments.
  • Scheduling appointments: Booking, confirming, and rescheduling patient appointments using internal systems, while coordinating with clinical staff to ensure efficient scheduling and patient flow.
  • Patient arrivals and departures: Greeting patients upon arrival, completing check-in procedures via electronic medical records (EMR) systems, updating personal and insurance details, and facilitating check-out processes, including follow-up bookings and payments.
  • Assisting patients and families: Offering compassionate and efficient support to patients and their families, addressing concerns, providing information, and helping them navigate the healthcare facility.
  • Clinical typing and documentation: Accurately transcribing medical reports, letters, and notes as dictated by clinicians, ensuring confidentiality and timely processing of documentation.
  • Front desk reception duties: Maintaining a professional and welcoming reception area, managing patient flow, updating waiting lists, and ensuring adherence to privacy and infection control protocols.
  • Supporting clinical staff: Assisting doctors and nurses with a range of administrative tasks, such as retrieving patient files, organizing documentation, entering data into healthcare software, and preparing paperwork to support clinical workflows.

This position requires excellent communication skills, attention to detail, the ability to prioritise effectively in a fast-paced setting, and a strong commitment to patient care and service excellence.
