About the Role:
We’re seeking a warm, proactive, and reliable Administration Officer to join our dynamic team at the Newcastle Mental Health Service (NMHS), located on the beautiful James Fletcher Campus in the heart of Newcastle CBD.
As the first point of contact for clients, families, and service providers, you’ll play a vital role in creating a safe, calm, and professional environment. This is a diverse and people-facing position where no two days are quite the same. You’ll work alongside a passionate team to support the delivery of mental health services to some of the community’s most vulnerable individuals.
Whether you’re greeting clients at reception, coordinating bookings, supporting clinicians, or managing essential admin tasks — your ability to stay composed, compassionate, and organised will make all the difference.
In this role, you’ll:
- Welcome and assist clients, carers and service providers in person and over the phone
- Provide high-level admin support to a multidisciplinary community mental health team
- Maintain accurate records and assist with scheduling, document prep, and reporting
- Help the service run smoothly with your attention to detail and calm under pressure
- Represent NMHS with professionalism, empathy, and discretion
About You:
You’re more than just a skilled administrator — you’re a natural communicator with heart. You take pride in being dependable, approachable, and respectful in every interaction. You’ve worked in healthcare or similar service settings and know how to manage multiple priorities with a steady hand.
You must have:
- Strong admin experience in a busy, client-facing environment
- Excellent communication and interpersonal skills
- Confidence with Microsoft Office and relevant admin systems
- The ability to work independently and collaboratively as part of a team
- A genuine commitment to supporting individuals experiencing mental health challenges
